The basics
What exactly is NextiaInvoices?
An invoicing platform, a client and service management platform, and a lightweight revenue-tracking platform. You create branded invoices and quotations, manage who you bill and what you sell, and see what you have earned and what is still outstanding.
Who is it for?
Freelancers, independent consultants, sole proprietors, contractors, professional service providers, small agencies, and small businesses of roughly one to ten people. If you send invoices for work rather than selling inventory, you are the target.
What is it deliberately not?
It is not a complete accounting system, a bookkeeping platform, an ERP, a payroll system, a payment processor, a bank reconciliation tool, or inventory management. That list is a design constraint we hold ourselves to, not a roadmap of things arriving later.
Do I need to be an accountant to use it?
No — and that is the point. There are no ledgers, no chart of accounts, no journal entries, and no accounting jargon in the interface. If you can describe the work you did, you can send an invoice for it.
How long does setup take?
The onboarding wizard is built to get you from registration to your first invoice in under five minutes. It saves as you go, so you can stop partway and come back, and it skips the steps that do not apply to you.
Getting paid
Does NextiaInvoices process payments?
No, and this is deliberate. We never collect or store card information, never receive or hold your money, and never act as merchant of record. You configure your own payment URL — a Stripe Payment Link, a Square or PayPal link, a Helcim page, bank-transfer instructions, or any secure HTTPS URL — and we render it as a button on your invoice.
So how does the money reach me?
Exactly the way it does today, through whichever provider you already use. Your client clicks the payment button on the invoice, pays through your provider, and the funds land in your account on your provider’s schedule. We are never in that path.
What percentage do you take of my invoices?
Zero. There is no percentage, no per-transaction fee, and no cut of invoice value. You pay a flat subscription and nothing else. Your payment provider will charge its own processing fees, as it does today — those are between you and them, and we neither calculate nor collect them.
Do I need to give you my payment provider’s secret keys?
No. We never ask for card numbers, banking passwords, processor secret keys, or merchant credentials, and there is nowhere in the product to enter them. All we store is the public payment URL you want on your invoices.
How do payments get marked as paid?
You record them. When the money arrives, mark the invoice paid — in full or partially, with the balance tracked. Because we are not in your bank account or your processor, we cannot see the payment, and we would rather say so than guess.
Can different invoices use different payment links?
Yes. There is a business-level default, an optional per-service override, and a per-invoice override. The invoice resolves them in that order, and stores the result on the document, so an invoice you sent last year keeps behaving the way it did last year.
Features & limits
Is there a cap on how many invoices I can send?
No. Invoices, clients, services and quotations are unlimited on both plans. We apply fair-use protections against abuse internally, but normal business use will never hit them.
What is actually different about the Business plan?
Collaboration — multiple users, multiple business workspaces, role-based permissions, shared clients and services, team activity history, a business-level audit trail, and priority support. We do not put core invoicing behind the higher tier. Solo gets every invoicing capability in the product.
Can I invoice in more than one currency?
Yes. Each business has a default currency, and clients can have their own preferred currency. Note that we do not convert between currencies or apply exchange rates — an invoice is issued in one currency and totalled in that currency.
Does it handle my country’s taxes?
It handles whatever taxes you define. You create the taxes your business actually charges, with your own rates, labels, registration numbers, inclusive or exclusive treatment, compound behaviour and calculation order. We can suggest what is typical for your country during setup, but you confirm every suggestion — nothing tax-related is ever applied silently.
Can my clients see their invoices without an account?
Yes. Every invoice and quotation has a secure client view reached through a long, random, revocable link. Your client sees that one document, your branding, a download button and your payment button — and nothing else in your account.
Is there a mobile app?
A mobile application is in development. In the meantime the web application is fully responsive and designed to be used on a phone — creating and sending an invoice from a job site is a supported flow, not a fallback.
AI
What does the AI actually do?
It drafts an invoice from a plain-language description, suggests line-item descriptions, rewrites client-facing notes more professionally, summarizes what is outstanding, and answers questions about your own invoice data.
Can it send an invoice on its own?
No. AI output never creates or sends a financial document without your explicit confirmation, and it never silently changes an amount, a tax, a date or a client. You always see the structured result before anything is saved.
Does the AI give tax advice?
No. NextiaInvoices is not a tax adviser or an accounting adviser, and the assistant is built not to present tax, accounting or legal guidance as authoritative. For advice that carries consequences, talk to a professional.
What if I do not want to use AI at all?
Then do not. AI reduces friction; it is not the product. Every core invoicing workflow works completely without it — which is also why the product keeps working when an AI provider has an outage.
Trial & billing
How does the free trial work?
Fourteen days, with no credit card at registration and full access to the capabilities of the plan you are trying. Your trial status and the time remaining are always visible, and you can choose a plan any time before it expires.
What happens to my data when the trial ends?
It is preserved. Some actions become restricted until you choose a plan, but your invoices, clients and history are not deleted at trial expiry. Full stop.
Monthly or annual?
Either. Annual billing costs less than twelve monthly payments; the exact saving is shown on the pricing page. You can switch between them, upgrade, downgrade, cancel or reactivate.
How is my subscription billed?
Through Stripe. Your card details go to Stripe and never touch our servers. This is entirely separate from how your clients pay you — the only money NextiaInvoices moves is its own subscription.
What if a subscription payment fails?
You get a grace period and clear notice rather than an abrupt lockout, with a chance to fix the payment method before anything changes.
Security & data
Where is my data stored?
All application data — the database, your uploaded files, the message queues and the application logs — is pinned to Microsoft Azure’s Canada Central region. Sign-in is handled by Microsoft Entra External ID, and the directory holding your login identity may be provisioned outside Canada; we state that plainly on the security page rather than rounding it up to a claim we cannot support.
Do you store my password?
We never see it. Authentication is delegated entirely to Microsoft Entra External ID — sign in with Google, Microsoft, Apple, or email and password. There is no custom authentication system in NextiaInvoices, and no password for us to lose.
Are you SOC 2 or ISO 27001 certified?
No, and we will not imply otherwise. The platform is designed around Canadian privacy expectations and GDPR-style data-subject rights, with audit logging, tenant isolation and least-privilege access built in from the start — but a certification is a completed audit, and we will claim one only when we have one.
Can I export or delete my data?
Yes to both. You can export your personal and business data, and you can request account deletion. Some records survive deletion because they legally have to — subscription transaction history, security events tied to abuse investigations, and audit entries for administrative actions. That is written in the privacy policy rather than discovered later.
Who at Nextia can see my invoices?
Support access is restricted, requires multi-factor authentication, and is audited. Impersonating a customer account is a logged action with a recorded reason, not a quiet capability.
